Outshine Privacy Policy
Last updated: June 28, 2026. Outshine is operated by Micavo. This policy explains how the app handles account, meeting recording, AI analysis, career-signal, and subscription data.
1. Information We Collect
Outshine may collect the following information when you use the app:
- Account information, such as your sign-in identifier and display name from Apple or Google.
- Profile information you provide during onboarding, such as your current role and career focus.
- Meeting audio you record using the app, and the transcript, rolling summary, and AI coaching cards generated from it.
- Career signals you explicitly confirm after a meeting (for example, that you asked a strategic question or demonstrated leadership).
- If you have Premium: the messages you choose to send in an optional post-meeting AI conversation, and a long-term memory summary derived only from your own messages in those conversations (see Section 5).
- Usage and quota information, such as monthly/one-time meeting minutes used and entitlement status.
- Purchase and subscription status from RevenueCat and the App Store.
2. Meeting Audio and Other Participants
Outshine records audio from meetings you choose to capture, which may include the voices of other people in the meeting. You are responsible for complying with any laws or workplace policies in your location regarding recording conversations and obtaining consent from other participants before recording.
Outshine does not identify or attempt to identify other speakers in a recording, and does not share recordings, transcripts, or coaching output with anyone other than your own account.
3. AI Meeting Analysis
While you record, audio is uploaded in short segments and sent to Google's Gemini AI to generate a transcript, a rolling summary, and coaching suggestions (such as a strategic question to ask, a potential blind spot, or a suggested next step). At the end of a meeting, Gemini also generates a short meeting summary from the full transcript.
AI-generated coaching, summaries, and any career-signal interpretation are informational estimates and may be inaccurate or incomplete — they are not a factual record of what was said or of any participant's intent.
4. How We Use Information
- To transcribe meeting audio and generate live coaching suggestions.
- To generate a meeting summary once a meeting ends.
- To update your Career Profile only when you explicitly confirm a career signal after a meeting — Outshine does not score your profile from AI inference alone.
- To show your meeting history, progress stats, and coaching activity over time.
- To manage free, Pro, and Premium feature access and monthly meeting quota.
- To improve reliability, prevent abuse, and provide support.
5. Career Signals and Profile Scoring
Outshine does not use speaker identification, so it cannot reliably tell which statements in a meeting came from you versus another participant. Because of this, your Career Profile scores are only ever updated when you yourself confirm, after a meeting ends, which career signals you demonstrated. Any AI-generated coaching language is presented as a suggestion or interpretation, never as a factual assessment of you or anyone else in the meeting.
If you have Premium, the same principle applies to your long-term memory summary: it is written only from your own messages in an optional post-meeting AI conversation you choose to have — never inferred from the meeting recording itself. This summary persists across meetings (unlike a single meeting's transcript or cards) so that future coaching can be more personalized to you, and is used only to inform the coaching shown to you. You can stop using this feature at any time by skipping the post-meeting conversation; see Section 10 for how to delete it.
6. Microphone and Background Recording
Outshine requests microphone access so you can record meetings, including continuing to record for a short period if you switch to another app on iOS. You can deny or revoke microphone access at any time in iOS Settings, which will prevent the app from recording.
7. Notifications
With your permission, Outshine may send push or local notifications — for example, letting you know that coaching cards are ready while the app is in the background, or sending coaching reminders and product updates. You can disable notifications at any time in iOS Settings.
8. Analytics and Diagnostics
We may collect usage, analytics, diagnostic, and crash-related information to understand app performance, improve reliability, prevent abuse, and evaluate feature usage. This may include events such as meeting start/end, coaching card generation, paywall views, and error states.
9. Third-Party Services
Outshine uses third-party services for authentication, cloud storage, AI processing, and subscription management.
- Apple Sign In and Google Sign-In for account access.
- Firebase (Authentication, Firestore, Cloud Storage, Cloud Functions, Cloud Messaging) for backend services, data storage, and notifications.
- Google Gemini for meeting transcription, coaching generation, and meeting summaries.
- RevenueCat and Apple App Store systems for subscription status and purchase validation.
10. Data Retention and Deletion
Meeting audio is automatically deleted once a meeting is fully processed — nothing in the app reads audio back after transcription, so it is not retained afterward. Transcripts, summaries, coaching cards, confirmed career signals, and (if you have Premium) any post-meeting AI conversation for that meeting are retained until you delete the individual meeting in the app, or until your account is deleted. Deleting a meeting deletes everything associated with it, not just the visible summary.
Your long-term memory summary (Section 5, Premium only) is the one exception to "tied to a single meeting" — it is deliberately retained across meetings so coaching can improve over time, and is not deleted when you delete an individual meeting. It is deleted when you delete your account, or you can clear it earlier by contacting support.
You may delete a meeting at any time from your meeting history. You can also permanently delete your account and all associated data directly in the app, from Settings → Delete account — this does not require contacting support. Deleting your account does not cancel an active App Store subscription; manage subscriptions separately in your Apple ID settings. We may need to retain limited records where required for legal, fraud-prevention, or payment reasons.
11. Your Choices
- You can deny or revoke microphone and notification permissions in iOS Settings.
- You can delete any individual meeting, including its transcript and coaching cards, from your meeting history.
- You can choose whether to confirm career signals after a meeting — nothing is added to your Career Profile unless you confirm it.
- You can permanently delete your account and its data at any time from Settings → Delete account.
- You can manage your subscription through your Apple ID subscription settings.
12. Data Security
We use reasonable safeguards to protect your information. However, no method of transmission or storage is completely secure.
13. Not Professional Career or Legal Advice
Outshine provides informational AI coaching and is not professional career counseling, HR, or legal advice. Use your own judgment, and consult a qualified professional before making major career, workplace, or legal decisions.
14. Children's Privacy
Outshine is intended for working professionals and is not directed at children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us so we can delete it.
15. Changes to This Policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of Outshine after a change constitutes acceptance of the updated policy.
